Extend Your Registration

If you work at HSE

Step 1. Prepare documents to extend your registration in advance

Your registration is a document confirming that you can lawfully stay in the Russian Federation for a long period of time.

Applicable for CIS citizens (not HQS staff members') who plan to stay in Russia more than 90 days and don't plan to leave the country during this period of time.

If you are a CIS citizen you need to submit your documents at your place of residence not later than 20 working days before the expiration of your registration. If you are a citizen of a country who needs a visa to enter Russia, you must extend your visa first and then you receive a new registration at your place of residence.

To extend your registration, please prepare all relevant documents and submit them to the passport officer at the HSE Guesthouse, or together with your landlord to the local territorial office, if you rent an apartment.

If you enter Russia without a visa

Please prepare the following documents:

  • a copy of your passport (all pages with stamps, marks and visas);
  • a copy of your registration slip (both sides);
  • your original migration card + 2 copies;
  • a copy of your employment/independent contractor agreement, certified by the HSE Office of Human Resources;
  • a copy of your work permit (both sides) (for HQS employees);
  • an HSE request (please look at  "How to obtain a HSE request" section below on this page);
  •  a completed registration slip (for your new registration).

You must fill in both sides and print them on one page.

If you arrive with your family, please submit their documents along with yours in order to extend their registration. Each family member accompanying you must submit:

  • copies of their passports, along with a copy of your passport (the first pages with photographs + copies of all pages with stamps, notes, endorsements and visas);
  • copies of your family member’s registration, along with a copy of your registration (both sides);
  • original migration card of your family member(s) + 2 copies;
  • a copy of your employment/independent contractor agreement, certified by the HSE Office of Human Resources;
  • a copy of your work permit (both sides) (for HQS employees);
  • a copy of your marriage certificate and/or birth certificates of your children;
  •  a completed registration slip (for your new registration).

*Citizens of Ukraine who arrive using their national (internal) passport, as well as citizens of Belarus, must attach a copy of the passport page with a Russian translation.

*Citizens of Armenia must attach a copy of the passport page with a stamp specifying the approved period for their stay outside of Armenia.

Please be kindly informed that the list of necessary documents may vary and it depends on the local territorial office where the documents will be submitted. To get the complete list of documents, please contact the passport officer at your dormitory/HSE Guesthouse, or in the local territorial office personally or with help of the landlord.

The documents for registration extension must be submitted in advance, not later than 25 calendar days before the expiration of your registration.

Pursuant to Russian legislation, foreign citizens who violate  immigration regulations are subject to a fine of up to RUB 7,000 (seven thousand roubles) and may be deported from Russia on the basis of a court decision, with a further ban on entry into the Russian Federation for up to 3 years.

If you enter Russia with a visa

If you enter Russia with visa, you must apply for  registration at your place of residence. If you have a new visa, you must get a new registration immediately after getting a new visa. Step 2. Submit your documents

To extend your registration, please prepare all documents and submit them in person to the HSE Guesthouse, or together with your landlord to the local territorial office.

Step 3. Collect your long-term registration

Your new registration will be ready within 14 working days upon submission of your documents.

 

Please make sure you have your original registration on you at all times.

Please check and keep in mind the expiry dates of your documents and make sure you contact us in due time to extend your registration.

Where can I obtain a request form for registration extension?

 

To obtain a request form from HSE, please send an e-mail to the HSE Visa and Registration Centre at visa-registration@hse.ru. When your application will be checked (2-3 working days), you can take it in the visa and migration support centre  during working hours. You can check the status of your request per phone or per e-mail.

What is the correct way to fill in the request form?

а) When filling in the request form, please make sure to edit only the fields highlighted in yellow;

b) If 2 options are available, select as applicable and delete the other option;

c) PLEASE DO NOT use CAPSLOCK when filling in the request form;

d) If you are a STUDENT, please note: in the last field, please select 1 of the 2 options: studies under a quota (обучение по квоте МОН) or studies under a tuition fee agreement (обучение по договору);

e) If you are a STUDENT, please note: the number of a quota is the number in the middle of the document (for example, № ESP-1111/11 or № UKR-1111/11 etc.).

If you have lost your migration card

A foreign citizen who has lost his/her migration card cannot stay in Russia longer than 3 days. A migration card must be restored.

Please note that this process can take from 5 to 14 days.

Step 1

Apply for a certificate of loss (“spravka ob utere dokumenta”/ «справка об утере документа» in Russian) at any nearest police station.

Step 2

Obtain a certificate of loss.

Step 3

Submit all required documents (passport, registration and certificate of loss from the police) to the regional migration office where your original registration was made.

Step 4

Obtain a duplicate of your migration card.

What should I do if I lost my registration slip (but still have my migration card)?

Step 1

You will need your passport, a copy of your passport, your migration card and its copy in order to restore your registration slip.

Step 2

Please submit these documents to the place where you were registered (to the passport officer, if you are staying in a dormitory/HSE Guesthouse or to the local territorial office of the Russian Ministry of Internal Affairs, if you are staying in a rented apartment).

Step 3

Collect a duplicate of your registration slip (from the passport officer in your dormitory/HSE Guesthouse, or at the local territorial office of the Russian Ministry of Internal Affairs, if you staying in a rented apartment).
